Tour & Office Operative

Role:                      Tour & Office Operative

Salary:                   £21,000/Annum

Hours:                   6/7 Days (Inc. Weekends) on a Rota basis

Other Info:          As per contract & legal employment rules

Executive’s work behind the scenes and front line to ensure all aspects of a tour come together (hotels, Meals, Excursions and coach/bus/train/flight arrangements) in order to successfully run all travel related products. In addition, you will need to sell products to the general public. Responsibilities for operative’s staff vary but will usually include call handling, sales development and conducting tours.

Typical work activities

  • Accompanying groups travelling by coach, although on specialist tours travel may be by mini-bus, car, boat, train or plane
  • Welcoming groups of holidaymakers at their starting point and announcing details of travel arrangements and stop-over points
  • Checking tickets and other relevant documents, seat allocations and any special requirements
  • Commentating during the journey on places of interest along the route
  • Communicating a range of information on itineraries, destinations and culture
  • Informing passengers of arrival and departure times at each destination on the itinerary (including ensuring that all members of the group are back on the coach before departing from each stop);
  • Organising entry to attractions and transport, such as Boat Cruises, Monuments etc
  • Responding to questions and offering help with any problems that arise - ranging from simple matters, such as directing a member of the group to the nearest chemist, to more serious issues, such as tracing lost baggage, etc;
  • dealing with emergencies, such as helping a holidaymaker who is ill or those needing to contact family members urgently;
  • Making contact in advance with places to stay or visit to check details and arrangements
  • Advising about facilities, such as sights, restaurants and shops, at each destination;
  • Promoting and marketing the business, sometimes to new or niche markets
  • Selling travel products and tour packages
  • Liaising with travel partners, including airlines and hotels, to manage bookings and schedules, often one year in advance
  • Dealing with customer enquiries and aiming to meet their expectations
  • Overseeing the smooth, efficient running of the business.
  • Sending Rooming and Seating lists accordingly
  • Managing, booking and cancelling services for all travel related products
  • Working closely with other parts of the business to help answer customer queries
  • Problem-solving for various aspects of the business
  • Sending out brochures, payment chase ups and sales enquiries
  • Use of sale reporting tools
Travel and Visa Consultant

Travel & Visa Consultant

Salary:-£7.85 per hour (depending on Experience)

The sales & visa operative is responsible for the daily running and management of their sales calls and travel sales through the effective use of resources, selling and booking processes. They have responsibility for meeting, and possibly setting, customer service targets as well as planning areas of improvement or development. They must ensure that calls are answered and walk in clients are dealt with in the most appropriate manner, to ensure a conversion into sale and high customer service standards.

 

Typical work activities**

•Inbound calls from customers and clients, e.g. queries, requests, orders and complaints.

•Outbound calls to contact potential customers and clients with the aim of gathering information or selling a product.

•Meeting performance targets for speed, efficiency, sales and quality

•Managing the booking of a client throughout

•Liaising with supervisors, team leaders, operatives and third parties to gather information and resolve issues

•Maintaining up-to-date knowledge of industry developments and involvement in networks

•Handling the most complex customer complaints or enquiries

•Ensure you are tracking the most up-to date changes in the booking system

•Help Clients decide on destinations to travel

•Enhance knowledge of booking systems and excel

•Working with others in the team to maximise sales

•Profound customer service skills

Role:                      Travel Operations Executive

Salary:                   £20,000 - £21,000 pro-rata Inc Benefits (depending on Experience)

Hours:                   5/7 Days off Season compromising of 40 Hours

                                6/7 Days during peak-season compromising of 48 Hours

Operations Executive’s work behind the scenes to ensure all aspects of a tour come together (hotels, Meals, Excursions and coach/bus/train/flight arrangements) in order to successfully run all travel related products.

Responsibilities for operations staff vary depending on the size of the organisation and the customer base but will usually include sales development, logistical and financial management, and daily operational management.

Typical work activities

  • Operations are the backbone to the business and must work in a way to help upper management develop strategies to hit or exceed sales targets, regardless of the size of the outlet or products offered.
  • Promoting and marketing the business, sometimes to new or niche markets
  • Managing budgets and maintaining statistical/financial records
  • Selling travel products and tour packages
  • Sourcing products and destinations to meet consumer demands for bespoke travel and sustainable tourism
  • Taking part in familiarisation visits to new destinations in order to gain information on issues and amenities of interest to consumers;
  • Liaising with travel partners, including airlines and hotels, to manage bookings and schedules, often one year in advance
  • Dealing with customer enquiries and aiming to meet their expectations
  • Overseeing the smooth, efficient running of the business.
  • Negotiating and working with suppliers, both on B2B and B2C levels.
  • Sending Rooming and Seating lists accordingly
  • Managing, booking and cancelling services for all travel related products
  • Handling, booking and managing FIT Travel
  • Booking and Managing ground transportation and other modes
  • Working closely with other parts of the business to help answer customer queries
  • Problem-solving for various aspects of the business

 

Ideal Candidate

  • Along with experience in the above, the ideal candidate should be a candid, hard-working and committed individual, who is able to work under pressure and meet deadlines and services as and when the business requires.
  • The job role will involve heavy use of Microsoft Office Suite – and hence the candidate should have good knowledge and understanding of the various programs such as Excel, Word, PowerPoint and Outlook.
  • The ideal candidate must be flexible to work any shifts during a 24 hour period.
